Administrative Assistant
UNIT / PROGRAM: FilmPhilippines Office STATUS: Contract of Service (COS)
PLACE OF ASSIGNMENT: FDCP Central Office - Manila
RESPONSIBILITIES:
- Assist the Executive Director and program leads in the day-to-day operations of the unit by handling administrative tasks;
- Prepare reports and communications, such as memos, emails, payment requests, liquidations, and other form correspondence;
- Provide real-time support in scheduling of activities, bookings, meetings, and other engagements of the FPO;
- Handle inquiries, screen phone calls, and manage other requirements for proper routing to the appropriate party;
- Develop and maintain a filing system (electronic and physical files);
- Help update, maintain, and reinforce office policies and procedures;
- Maintain supplies inventory and help facilitate preventive maintenance of tools and equipment assigned to the unit;
- Assist in other clerical requirements and perform related tasks needed by the unit.
QUALIFICATIONS:
- Bachelor's degree in any program relevant to the job;
- At least three (3) years of work experience;
- Has excellent time management skills and ability to multitask;
- Proficient in verbal and written communication;
- Experienced in drafting memoranda and other forms of correspondence;
- Has strong organizational and planning skills;
- Demonstrates good attention to details;
- Ability to function well in a fast-paced environment;
- Ability to maintain confidentiality;
- Proactive and can work under minimal supervision.
